Job Purpose
The Archives & Administration Officer plays a critical role in systematic control, security, retrieval, and archiving organizational documents and records. This position ensures the integrity of both electronic and physical records are accurately classified, safely stored, and accessible when needed, while ensuring full compliance with legal, regulatory, and operational requirements.
This role is central to maintaining information / document integrity, enhancing operational efficiency and audit readiness.
Primary Duties & Responsibilities
- Establish and maintain document control procedures to ensure consistency, accuracy, and accessibility of all official documents.
- Maintain version control and ensure all documents are properly formatted and comply with organizational standards and regulatory requirements.
- Develop and manage records classification schemes and retention schedules across departments.
- Ensure proper lifecycle management of records—from creation and use to secure storage, archiving, and authorized disposal
- Organize and maintain both physical and electronic filing systems in accordance with best practices and policy.
- Maintain an updated archive register with a clear index and searchability.
- Assist with regulatory (external) and internal audits by ensuring rapid retrieval and validation of documentExperience (Minimum)

- Manage and maintain the Electronic Document Management System (EDMS) used on site.
- Serve as a central point of contact for record-related queries and document control procedures.

Required Skills or Experience
Minimum qualification (s)
Degree in Information Studies, Business Administration, Social Sciences or relevant discipline
Experience (Minimum)
Minimum of 2 years in document control / records management
Knowledge (In-depth)
- Extensive knowledge of document control process and procedures
- In-depth understanding of document lifecycle and records retention requirements in the mining sector
- Proficiency in document management systems (EDMS) – Auto Desk Docs
Skills
- Proficient in Microsoft Office Suite
- Excellent organizational and records tracking skills
